Introduction

The Maryland Department of Labor is accepting applications from all qualified applicants for the position of Office Supervisor. This position processes license applications for the issuance of the licenses of 25 regulatory Boards and Commissions within the divisions of the Occupational and Professional licensing.

Main Purpose of Job

The main purpose of this position is to process license applications for the issuance of the licenses for 25 regulatory Boards and Commissions within the divisions of the Occupational and Professional licensing. The position is also responsible for answering consumer inquiries through the Consumer Service Center by providing accurate information regarding the Board and Commissions, application and complaint status, and related information in a professional, courteous, and timely manner.

POSITION DUTIES

Duties of this position include, but are not limited to:

Process, review original and renewal license applications by monitoring information entered by the bank and the Management Information System to ensure accuracy, completeness and compliance with applicable law and regulations. Provides potential licensees with instructions on how to file electronically via the Internet.

Coordinates the operation of electronic licensing program with the Division. Plans, manages, and directs staff functions in processing original and renewal license applications for licenses over the Internet's World Wide Web.

Verify and audits all applications and miscellaneous fee submitted by Boards/Commissions daily in order to ensure that the auditing requirements of the legislative auditors are met.

Maintains tracking and collecting records manually and by computer for all board checks in order to maintain accurate records of the checks and their replacements.

Supervises a staff of (10) employees. Performs the duties necessary to employ, such as training and maintaining time, attendance and evaluates employee's performance.

Monitors, tracts and resolves all charge backs from electronic licensing renewals including identifying electronic transactions. Reconciling credit demands with credit vendors, fiscal services, Division Units, and the Office of Information Management.

MINIMUM QUALIFICATIONS

Education:   Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Four years of experience performing clerical duties.

Notes:

1. Additional experience performing clerical duties may be substituted on a year-for-year basis for the required education.

2. Applicants may substitute education from an accredited college or university at the rate of thirty semester credit hours for one year of experience on a year-for-year basis for the required experience.

3. Six months clerical training with three courses in subjects such as keyboarding, clerical math, word processing, spreadsheets, database, graphics presentation, proofreading, or office etiquette may be substituted for six months of the required experience.

4. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical or Office Services specialty codes in the Administrative Support field of work on a year-for year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

Preference will be given to applicants who possess the following preferred qualification(s). Include clear and specific information on your application regarding your qualifications.

Experience supervising employees or in a lead capacity

Customer Service skills

Experience creating, updating and maintaining operation procedures for staff and unit

Manual deposits and internet transactions experience

SPECIAL REQUIREMENTS

All candidates are subject to a background check against files maintained by the Division of Unemployment Insurance (DLLR/DUI) to determine whether any monies are owed to DLLR/DUI as a result of unemployment overpayment/fraud. Any unpaid debt may have an impact on whether or not a candidate is offered employment.
