Main Purpose of Job

The main purpose of this position is to perform numerous functions to enhance the operation of the mailroom while supervising three Office Clerk I's and three volunteers.

POSITION DUTIES

Departmental (Mailroom) Duties:

  • Sorting of institutional change sheets;
  • Set up of computers, postage machine, etc.
  • Look up all inmate mail previously out to Custody or court
  • Sort inmate request slips by department
  • Sort all outgoing inmate mail and run through date stamp machine
  • Look up all No Fund inmate mail and process.
  • Prepare certified mail and log for post office.
  • Prepare return paperwork on all items that are not acceptable through the mail.
  • Log all incoming packages, legal mail, magazines, newspapers, etc.
  • Answer inmate request slips.
  • Place all inmate mail into proper bags to be delivered to appropriate housing unit.
  • Count, assign housing units, open and inspect all inmate mail for contraband.
  • Sort institutional mail and forward to appropriate department.
  • Enter all incoming inmate money orders into the computer for business office processing.
  • Review and approve reports.
  • Answer all inmate and outside requests and concerns.          

Supervision:

  • Interview, select and train new staff.
  • Assign, review and evaluate the work of three office staff and three Volunteers to ensure efficient and accurate operation of the department;
  • Disseminate information to staff and discuss issues and concerns within the department.
  • Evaluate staff’s work performance and develop performance standards in accordance with PEP.
  • Impose disciplinary sanctions against staff if warranted or make recommendation to the Appointing Authority.
  • Review inter-departmental procedures and make appropriate changes to increase productivity and efficiency.
  • Attend managers meetings.
  • Attend IAC meetings
  • Serve on committee to better inmate community.
  • Schedule and approve vacation and personal days.
  • Schedule employee training.
  • Assist other agencies on mailroom procedures.

MINIMUM QUALIFICATIONS

Education:   Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Four years of experience performing clerical duties.

Notes:

1. Additional experience performing clerical duties may be substituted on a year-for-year basis for the required education.

2. Applicants may substitute education from an accredited college or university at the rate of thirty semester credit hours for one year of experience on a year-for-year basis for the required experience.

3. Six months clerical training with three courses in subjects such as keyboarding, clerical math, word processing, spreadsheets, database, graphics presentation, proofreading, or office etiquette may be substituted for six months of the required experience.

4. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical or Office Services specialty codes in the Administrative Support field of work on a year-for year basis for the required experience. 

DESIRED OR PREFERRED QUALIFICATIONS

Preference will be given to applicants who possess the following preferred qualification(s). Include clear and specific information on your application regarding your qualifications.

1 year of experience working in a mail room.

Experience supervising office staff.

Experience working within a correctional facility.

Experience working with offenders.
