Introduction

This position is limited to permanent and contractual employees working with the Maryland Department of Public Safety and Correctional Service/ Division of Parole and Probation.

This recruitment will be used to fill vacancies in the following locations; Calvert, Prince George's, Cecil, Worcester and Anne Arundel. Candidates must specify on their application which locations they are willing to work.

POSITION DUTIES

The main purpose of this position is to provide general office clerical services to an operational/specialized field unit of the Division of Parole and Probation.

Uses standard desktop computer or word processing and spreadsheet software and peripheral equipment to produce correspondence, reports tables, etc., from rough drafts or corrected copies and edits grammar, punctuation and spelling. Distributes finalized documents, sometimes without prior supervisory review.

Answer telephones, screens calls, takes appropriate messages, schedules appointments, answer general questions regarding state employment and job openings and determines the degree of information allowed in relationship to state confidentiality laws.

Inputs accurate and complete data in OBSCIS II/DDAIS/OCMS informational systems in order to update offender records.

Assembles and completes a variety of reports, posts information to records and logs and maintains established files in a variety of formats including electronic files and databases.

Maintains important and confidential files, mailing lists, general files, procedural files, and open and closed case files.

Acts in absence of other clerical staff by leading or training other clerical staff; recommends formal training for other clerical employees. 

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Two years of experience performing clerical duties.

Notes:

1. Additional experience performing clerical duties may be substituted on a year-for-year basis for the required education.

 2. Applicants may substitute education from an accredited college or university at the rate of thirty semester credit hours for one year of experience on a year-for-year basis for the required experience.

 3. Six months clerical training with three courses in subjects such as keyboarding, clerical math, word processing, spreadsheets, database, graphics presentation, proofreading, or office etiquette may be substituted for six months of the requires experience.

4. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administrative classifications or in Administrative, Clerical, or Office Services specialty codes in the Clerical Support field of work on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

Experience using Microsoft Word to produce routine letter, memorandums and reports

Experience handling customer services inquires.

Experience handling confidential files and correspondence.

This position Is limited to current contractual and permanent Maryland Department of Public Safety and Correctional Services (DPSCS)/ Division of Parole and Probation (DPP) employees only.
