Springfield Hospital Center is a regional psychiatric hospital operated by the State of Maryland, Maryland Department of Health, which is located on a picturesque campus in southern Carroll County, MD. Springfield Hospital Center is one of the largest psychiatric hospitals in the State of Maryland that provides a wide range of clinical services for the treatment of patients with mental illnesses.

LOCATION OF POSITION

MDH, Springfield Hospital Center, Sykesville MD

Main Purpose of Job

The main purpose of this position is to provide administrative support to the Chief Executive's Office and Clinical Director's Office in performing assigned secretarial/clerical functions. The mission of the hospital is to provide competent treatment for all the patients and to treat all staff as its most valued asset while enhancing its role as a progressive force in the mental health community and as a leader in providing effective hospital care. This position reports directly to the Chief Executive Officer.

Some duties assigned to this position include, but are not limited to:

  • compiling and maintaining data reports
  • coordinating and arranging services and ceremonies
  • scheduling tours and meetings
  • maintaining prompt and courteous communication with visitors, staff and patients
  • screening telephone calls
  • composing and transcribing memorandums and letters
  • creating Power Point, Excel charts/reports
  • using word processing, database, spreadsheet or desktop publishing computer software to prepare reports, charts, graphs or other documents
  • serving as recording secretary for meetings and serving as backup secretary, as needed
  • processing all court-related materials for the Hospital Attorney
  • coordinating functions associating with the scheduling of Clinical Review Panel Appeals
  • ensures accurate and timely processing of guardianship documentation
  • provides assistance and training regarding electronic timekeeping

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Three years performing secretarial or clerical work involving typing duties.

Notes: 1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

The desired candidate should have experience utilizing Microsoft Office Suite software packages to create correspondence, memorandums, reports, etc.; experience responding to customers via telephone and in-person inquiries regarding routine information; and, independently completing multiple tasks with close attention to detail.  The desired candidate should have knowledge of the principles and practices of good office management and mathematical skills, skill in organizing and exercising good judgment, courtesy and tact in receiving callers, skill in providing and obtaining information, and in making proper disposition of problems, and the ability to establish and maintain effective working relationships.

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a keyboard of a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.
