Main Purpose of Job

This position's primary responsibility is to provide support services to the Associate Director. These support services may include but are not limited to responding to emails, calls and meeting requests on behalf of the Associate Director; tracking Taxpayer Services (TPS) programs' progress for the Associate Director; monitoring TPS programs' shared email inboxes and phone lines; tracking customer service inquires, and performing duties associated with an office manager. Secondarily, this position provide support services to the Business Personal Property Program Manager through a variety of tasks related to organization and communication, similar to the support services provided to the Associate Director.

POSITION DUTIES

Answers and/or direct calls, emails, faxes, etc. to the appropriate destination. Takes, transcribes, and keep notes for staff meetings.

Read, distribute, type and finalize correspondence from constituents directed to the Associate Director or Taxpayer Services that have been escalated.

Maintains the Associate Director's calendar, appointments messages and correspondences. Make travel plans and book meeting rooms.

Acts as a first level of information dispersal and assistance for taxpayers and the general public regarding Taxpayers Services (TPS) programs. Interacts with general public and internal staff in person, by phone, and or by email to facilitate issue resolutions.         

Tracks all customer service inquiries escalated to the AD as directed by the AD initial correspondence to resolution.

Acts as a first level of information dispersal and assistance for taxpayers and the general public regarding the personal property tax structure, the assessment process, late filing penalties, filing requirements, etc.

Complies email and phone data to determine whether TPS is effectively responding to customer inquiries.

 

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Three years performing secretarial or clerical work involving typing duties.

Notes: 

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.  

DESIRED OR PREFERRED QUALIFICATIONS

PREFERRED

Experience performing clerical duties involving typing duties.

Experience with handling high volume incoming and outgoing calls.

Experience working with computers and different software including Microsoft Office and entering data into a database system.

 

LIMITATIONS ON SELECTION

Must be willing to work in Baltimore City.

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a keyboard of a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.
