Main Purpose of Job

This position functions as the Administrative Aide to provide day to day support for Product Development Department. This position's job duties will be required to perform complex and routine administrative duties in an accurate and expeditious manner as assign by the Director of Product Development. This position requires command of the Microsoft Office suite, especially, Word, Excel, Power Point in order to complete most tasks assigned. Also includes but not limited maintaining schedules of department personnel. This division is the agency's Product Development arm - responsible for developing products and initiatives that raise money for the State.

POSITION DUTIES

Departmental Scheduling – Responsible for tracking department through Google Calendar personnel schedules including leave requests, meeting attendance and scheduling meetings as needed. 

Instant Ticket Audits and procedures – Audit all new instant ticket games for scratch ability, non-winning string limiters, and guaranteed winners per book. Distribute game working papers throughout the agency and filing executed working papers.

Assigned Administrative Support –   Produce design and edit memos, product overviews, proof reading, and produce reports as assigned to be distributed throughout the agency. Monitor meeting note and emails for updates to product plan Developed a process for assessing department needs and procuring supplies, from outside vendors, and/or Support Services. Departmental phone coverage is required for incoming calls.

Industry Reporting – monitor and conduct lower level research on industry trends and lotteries of interest. Providing concise reports back to the Director of Product development. 

Data Entry – Provide support for budget and reporting by basic data entry and other duties assigned.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Four years performing secretarial work or clerical work involving typing duties.

Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

Experience Using PowerPoint and Excel

Data Entry Experience

Experience Verifying/Checking Invoices

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a keyboard on a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.
