POSITION DUTIES

The Compliance Division of the Comptroller of Maryland is looking to fill both current and future vacancies within the Administrative Aide Classification.

Baltimore (Current Vacancy)- This position is located within the Business Tax Unit of the Field Audit Section in the Compliance Division. The incumbent of this position will provide secretarial support to the Chief Auditor, and managers of the Business Tax Audit Unit. The incumbent selected for this position will type correspondence, reports, and other documents as well as maintain a variety of important and confidential records, schedules, expense accounts, etc. The selected candidate will be in charge of managing, organizing, and keeping up to date personnel files for the unit including all forms and documents for new hires and terminations or retirements. Additional duties will include: proofreading outgoing correspondence and reviewing records for completeness and accuracy.

Annapolis (Future Vacancy)- This position is located within the Annapolis Collections Section in the Compliance Division. The incumbent of this position will provide secretarial support to the Manager, Assistant Manager, Group Manager and occasionally the Assistant Director or Director within the Annapolis Collections Unit. This unit is responsible for the collection of deficient individual taxes. The incumbent of this position will type correspondence, reports and other documents for the management staff of the unit as well as receive incoming phone calls. The selected candidate will also greet taxpayers or visitors to the Annapolis office.  

The ideal candidate for either position should have knowledge of office procedures, practices, and equipment. They should be proficient in business English, spelling, punctuation, and grammar. The candidate should also have the ability to answer telephone calls and visitors, and arrange appointments, be familiar with basic computer programs such as MS Word and Excel. The ability to communicate effectively is essential.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Four years performing secretarial work or clerical work involving typing duties.

NOTES:

  1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.
  2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.
  3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a keyboard on a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.

EXAMINATION PROCESS

Only applicants who meet the minimum and selective qualifications for this recruitment will be considered for this opportunity. The examination will consist of a rating of your education, training and experience. It is essential that you submit complete and accurate information on your application in order to determine if you meet the qualifications as specified above. Due to the nature of this list, all qualified applicants are placed on an unranked list of candidates and will remain active on this list for at least one year.  

Qualifying applicants are subject to an oral interview. Prior to appointment, the employee must successfully undergo a comprehensive background investigation including a review of criminal, MVA and tax records; and determination of legal authorization to work in the United States or under the United States Immigration Reform and Control Act of 1986. Upon initial appointment OR promotion to a position in the State Personnel Management System, an employee is required to serve an initial six month probationary period. This probationary period may be extended an additional six months under certain circumstances at the discretion of the appointing authority.
