Main Purpose of Job
POSITION DUTIES
Prepares monthly statistical reports for the Purchase of Service and Monthly IHAS Report.
Reviews monthly invoice for accuracy and prepare the invoices of the Individual Providers and the Vendors Agencies for payment.
Prepares the monthly 516 (Summary Monthly in Home Aide Service).
Prepares the monthly (in house) Report (all combine hours for: all In-Home-Aide-Service, Providers and Vendors) IHAS Output Hours.
Maintains financial ledgers in data base that keep records updated; Enters payments of invoice into computer.
Prepares and issues contracts to providers and vendors.
Mail out Quarterly Contracts Packages, which consist of 502’s & 503’s forms, Holiday Schedulers, envelopes and the contacts. Teach POS providers how to complete the IHAS 502’s & 503’s.
Prepares the FY Spending Plan for Purchase of In-Home Aide Services Allocation for GENERAL IHAS POS and HIV/AIDS IHAS POS.
Prepares the In-Home Aide Service FY Purchase of Service Expenditures Status Report for GERNERAL IHAS POS and HIV/AIDS IHAS POS.
Mail out application, received application and meet with potential Providers. Assign cases to vendors.
Maintains the units waiting list by deleting the names off the list when opening the case.
Troubleshoot between customer and vendor when there are problems.
Monitor customers’ service monthly for efficient delivery of service according to the care plan for Purchase of Service Providers and/or Vendor Aides.
Schedules staffing; Case conferences; Schedule home visits to introduce vendor aides and providers services to customers after case staffing and provide overall support to unit personnel daily. Attends, plans, and participates in by-weekly unit meetings.
Prepares records for close file. Performs other duties that maybe assigned.
MINIMUM QUALIFICATIONS

Education: Completion of 60 credit hours at an accredited college or university.
Experience: One year of experience in administrative or professional work.
Notes:
1. Candidates may substitute experience as defined above for the required education at the rate of one year of experience for 30 credit hours, for up to 60 credit hours of required education.
2. Candidates may substitute 90 credit hours at an accredited college or university for the required education and experience.
3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer involving staff work requiring regular use of independent judgment and analysis in applying and interpreting rules and regulations in accordance with agency laws and policies on a year-for-year basis for the required education and experience.
DESIRED OR PREFERRED QUALIFICATIONS
Strong preference will be given to applicants that possess the following preferred qualification(s). Include clear and specific information on your application regarding the qualifications.
The ideal candidate will possess the following:
1.One year of experience managing procurement and contracts for a human service program.
2.One year of experience researching and writing grants for a human service program.
3.One year of experience performing Accounts Payables/Accounts Receivables..
4.One year of experience using Microsoft Google Suite and Office Suite.
5.One year of experience communicating with internal and external customers.
