Main Purpose of Job

The Personnel Associate I position for the orientation unit serves as the direct contact and administrative support to the orientation unit Manager. The incumbent will be the direct contact for coordinating and administering the research and continued tracking of the agencies hiring bonus program and exiting interview program. In addition, this positon will learn and perform administrative responsibilities to support new employee orientation and onboarding processes.

POSITION DUTIES

Assist with logging new hire employee’s information on the designated electronic tracking document.

Review new employee information provided by the HR Analyst /recruitment unit to ensure all necessary information on their orientation checklist is correct with the information needed for the personnel file and the orientation unit.

Assist HR Officer I with sending via email the appropriate orientation packet of information (forms to be completed by new hire prior to the orientation day), for new hires (permanent or contractual), State of Maryland transfers, rehires and/or reinstatements.

Ensure extra copies of documents are made and readily available prior to the day of orientation.

Assist with ordering supplies for the orientation unit.

Complete personnel files and provide them to the records management team. 

Assist with processing new leave bank enrollment forms.

Collect new hire information from the agency’s centralized hiring unit and assist with data processing of the information.

MINIMUM QUALIFICATIONS

Education:  Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience:  Two years of general clerical or administrative support experience at least one year of which must have been paraprofessional personnel experience involving the application of public sector procedures, policies, rules and regulations to specific employment actions. Appropriate paraprofessional personnel experience should have included responsibility for activities such as, preparing and maintaining employment records, calculating salaries, applying and interpreting rules and policies, preparing personnel-related reports, counseling employees regarding benefits and obligations, and responding to inquiries concerning employment actions.

Note:

1. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in human resources assistance classification or human resources assistance specialty codes in the human resources management field of work on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

Paraprofessional personnel work experience.

Experience coordinating, facilitating or conducting instructor led classes.
