Main Purpose of Job

Performing diverse clerical duties in the Medical Relations Office (MRO), which supports the agency's operations and support functions. Requires filing, photocopying, posting data, stamping, sorting, sending mail and directing telephone calls.

POSITION DUTIES

File reports, records, forms and other materials. Copy various materials using the photocopying equipment. Order, receive and distribute office supplies and materials. Extract and assemble material from files and other sources. Enter, retrieve and update information using computer database and spreadsheet software. Complete and forward form letters, answer telephone calls, complete follow up calls. Manage voice mail for staff when on leave. Maintain knowledge of electronic initiatives and communicate with the medical community.

MINIMUM QUALIFICATIONS

Education:  

Completion of the eighth grade.

Experience:

One year experience performing clerical duties in an office environment. 

Notes:  

  1. Additional experience performing clerical duties may be substituted on a year-for-year basis for the required education.
  2. Graduation from an accredited high school or possession of a high school equivalency certificate may be substituted for six months of the required experience.
  3. Six months clerical training with three courses in subjects such as keyboarding, clerical math, word processing, spreadsheets, data base, graphics presentation, proofreading, or office etiquette may be substituted for six months of the required experience.
  4. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical or Office Services specialty codes in the Clerical Support field of work on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

  1. Experience in operating office equipment and performing basic office procedures.
  2. Experience in entering, retrieving and updating information using Microsoft Office Suite.
  3. Experience with maintaining files and record keeping. 
  4. Experience with entering data into excel spreadsheets.
  5. Experience with using the telephone and email to obtain information and records.

SPECIAL REQUIREMENTS

Individuals selected for positions with the Maryland State Department of Education's Disability Determination Service (DDS) will go through a complete Tier 2 federal background investigation.  A suitability determination by the Social Security Administration is necessary to determine whether an employee can be issued credentials in order to have access to Social Security disability data, records, and systems.

BENEFITS

Leave may be granted to a temporary/contractual employee who has worked 120 days in a 12 month period. This leave accrues at a rate of one hour for every 30 hours worked, not to exceed 40 hours per calendar year. 

Contractual employees who work for an agency covered under the State Employee and Retiree Health and Welfare Benefits Program (the Program), have a current employment contract and work 30 or more hours a week (or on average 130 hours per month) may be eligible for subsidized health benefits coverage for themselves and their dependents.  As a contractual employee, you will be responsible for paying 25% of the premiums for your medical and prescription coverage, including any eligible dependents you have enrolled. The State of Maryland will subsidize the remaining 75% of the cost for these benefits. You can also elect to enroll in dental coverage, accidental death and dismemberment insurance, and life insurance, but will be responsible to pay the full premium for these benefits.
