Main Purpose of Job

The incumbent provides secretarial and data entry duties for the State Chemist Section, and answers the telephone to direct calls to the appropriate individual. The incumbent is responsible for entering registrations that are received in the State Chemist office, either renewals, or new products, placing orders in the system, and fulfilling those orders. The incumbent is also the back up for the UFTRS (Universal Fertilizer Tonnage Reporting System).

POSITION DUTIES

Enters new product information, ensure renewal information is accurate, enters orders, and fulfills orders in Dynamics as they are received in the State Chemist Section. Transfers the registration documents to the person that verifies the data.

Answers the main telephone line and answers general questions. Responds to phone calls, emails, walk-in customers in a positive and professional manner.

Processes incoming mail, sort, date stamps, and routes mail to the appropriate person.

Enters the monthly and semi-annual tonnage reports in the appropriate Excel Spreadsheet.

MINIMUM QUALIFICATIONS

Education:   Completion of the eighth grade.

Experience: One year experience performing clerical duties in an office environment. 

Notes:  

1. Additional experience performing clerical duties may be substituted on a year-for-year basis for the required education.

2. Graduation from an accredited high school or possession of a high school equivalency certificate may be substituted for six months of the required experience.

3. Six months clerical training with three courses in subjects such as keyboarding, clerical math, word processing, spreadsheets, data base, graphics presentation, proofreading, or office etiquette may be substituted for six months of the required experience.

4. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical or Office Services specialty codes in the Clerical Support field of work on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

At least one year of experience using Microsoft Office Suite, Word, Excel or Access.

BENEFITS

Contractual employees shall be eligible to accrue Paid Leave in accordance with the Maryland Healthy Working Families Act (Title 3, Subtitle 13 of the Labor and Employment Article). The employee shall be eligible to use accrued Paid Leave after the first 106 calendar days the employee has work for the Maryland Department of Agriculture. The employee must maintain a schedule of at least 24 hours in a 2-week pay period in order to accrue Paid Leave. If the employee works sufficient hours to accrue Paid Leave, the employee shall accrue Paid Leave at the rate of 1 hour for every 30 hours worked, not to exceed 40 hours in a calendar year.

Contractual employees who work for an agency covered under the State Employee and Retiree Health and Welfare Benefits Program (the Program), have a current employment contract and work 30 or more hours a week (or on average 130 hours per month) may be eligible for subsidized health benefits coverage for themselves and their dependents.  As a contractual employee, you will be responsible for paying 25% of the premiums for your medical and prescription coverage, including any eligible dependents you have enrolled. The State of Maryland will subsidize the remaining 75% of the cost for these benefits. You can also elect to enroll in dental coverage, accidental death and dismemberment insurance, and life insurance, but will be responsible to pay the full premium for these benefits.
