Main Purpose of Job
POSITION DUTIES
- Screens requests for procurement of supplies and services to determine the type of procurement action required.
- Contacts customers to clarify requirements or to offer/suggest substitutions.
- Prepares and reviews accuracy for all final requisitions and purchase documents for all goods and/or services.
- Creates, prepares, and prints purchase orders, requisitions, requests for quotation and documents.
- Maintains all supply records and preparations of various reports.
- Maintains a perpetual inventory of all supplies and equipment.
- Supervises the operation of all academy storerooms and/or warehouses where the food, clothing and other supplies and equipment are received and issued.
- Creates and processes yearly projections.
- Processes and completes monthly vouchers for federal reimbursement in a timely manner.
- Supports HR functions, including scheduling interviews, conducting interview boards, process all paperwork associated with hiring and personnel actions as needed.
- Supports payroll functions, as timekeeper and resolves any pay issues at hand.
- Responsible for all key control for Freestate ChalleNGe Academy.
MINIMUM QUALIFICATIONS
Education: A Bachelor's degree from an accredited college or university.
Experience: Three years of experience in budget preparation, presentation and execution.
Notes:
1. Candidates may substitute graduate education in accounting, business administration, economics, finance, political science or public administration at a rate of 30 semester hours for one year of required experience.
2. Candidates may substitute additional experience as defined above on a year-for-year basis for the required education.
3. Candidates may substitute U.S. Armed Forces military service experience as a commissioned officer in the Budget Officer classifications or Financial Management specialty codes in the Budgeting field of work on a year-for-year basis for the required education and experience.
DESIRED OR PREFERRED QUALIFICATIONS
Experience with verifying invoices and processing payment.
Experience with monitoring and reporting on budget expenditures and balances.
Experience with processing credit card purchases and payments.
Experience with audit practices.
Experience with Fiscal Year closeout.
Proficient in Microsoft Excel.
Experience with budget preparation and request.
