Introduction
This is a position specific recruitment for the Maryland Department of the Environment (MDE). This recruitment will be used to fill current and future vacancies for this position/function only. The resulting eligible list will be maintained for one year. Persons interested in future vacancies within this classification must re-apply.

Main Purpose of Job
This position performs complex administrative and sub-professional requirements exercising independent action and judgement for the Deputy Director of the Air and Radiation Administration, as well as, providing administrative support to the Office of the Director.
PLEASE NOTE: The selected incumbent for this position will not be eligible for a compressed workweek or telework. The working hours for this position are 8:00 a.m. - 5:00 p.m.
POSITION DUTIES
Job duties include but, not limited to:

Maintains full knowledge of Deputy Director's responsibilities and assigned tasks and exercises independent judgement in assisting with the execution of various work assignments to assist the Deputy Director in meeting timelines and priorities. Communicates administrative directions, policies and assignments to Program Managers and other members of the staff, following up to ensure assignments are completed.

Manages Deputy Director's calendar electronically. Schedules all meetings and appointments, noting and resolving any conflicts that may arise. Gathers necessary meeting materials from various sources - edits and summarizes information and complies into comprehensive package so the Deputy Director is fully prepared. Prepares itineraries and makes all travel arrangements needed for the Deputy Director.

Prepares correspondence independently and by direction of the Deputy Director on a variety of complex and routine administrative matters. Follows up with ARMA personnel, ensuring that tasks assigned by the Deputy Director are completed within the required timeframes. Types or processes memos, letters, charts, reports and other documents, including those involving personnel matters that frequently require confidential handling.

Responsible for Director's Office phone coverage and office machine maintenance. Receives all incoming calls and visitors for the Office of the Director, ensuring calls are properly answered, handled and/or transferred appropriately. Responsible for maintaining office equipment, needed supplies and procurements for the Director's Office.

Provides guidance, direction and problem-solving to lead secretaries of ARA programs regarding procedures, policies and completion of assignments. Establishes priorities and revises office procedures as needed to ensure maximum productivity and efficiency is achieved.
MINIMUM QUALIFICATIONS
Education: Graduation from an accredited high school or possession of a high school equivalency certificate.
Experience: Five years performing secretarial work or clerical work involving typing duties.
Notes:
1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.
2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.
3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration or Personnel Specialist classifications or Administrative, Clerical, or Office Services specialty codes in the Special Assistant or Secretarial fields of work on a year-for-year basis for the required experience.
DESIRED OR PREFERRED QUALIFICATIONS

Experience composing/proofreading correspondence, letters, memos and emails;

Proficient computer skills, including google mail/calendar, Microsoft Word, Excel, etc.;

Ability to work in a fast- paced, ever-changing environment;

Ability to work independently;

Ability to handle a multi-line phone system;

One year of experience providing secretarial support to an elected official or a high-level Administrator.
