LOCATION OF POSITION
- Tracks all incoming cases into the appropriate section of the revocation unit.
- Reviews all case files to ensure that essential documents have been secured and confirms status of case through agency data base system.
- Assigns cases to specific dockets and coordinates the scheduling of the completed docket with the manager of the Parole Services Unit.
- Notifies the offender's attorney via correspondence or telephone of the preliminary hearing date and reschedules the date should there be a conflict for the inmate's representative.
- Informs Community Supervision Agent and immediate supervisor via email of the preliminary hearing date.
- Prepares letter of notification to the Office of the Public Defender for upcoming revocation dockets.
- Accurately prepares dockets, and docket sheets, and provides Commissioners with files at least six days prior to the hearing date.
- Enters scheduling information onto agency data base system.
- Maintains statistical data as necessary.
- Provides assistance to the other revocation desks when necessary.
- Provides assistance with preparing and processing warrants when necessary.
- Provides secretarial support to unit managers and office supervisor when necessary.
- Provides switchboard coverage when necessary.
- Performs other duties as required.
Education: Graduation from an accredited high school or possession of a high school equivalency certificate.
Experience: Two years of experience performing clerical duties.
1. Additional experience performing clerical duties may be substituted on a year-for-year basis for the required education.
2. Applicants may substitute education from an accredited college or university at the rate of thirty semester credit hours for one year of experience on a year-for-year basis for the required experience.
3. Six months clerical training with three courses in subjects such as keyboarding, clerical math, word processing, spreadsheets, database, graphics presentation, proofreading, or office etiquette may be substituted for six months of the requires experience.
4. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administrative classifications or in Administrative, Clerical, or Office Services specialty codes in the Clerical Support field of work on a year-for-year basis for the required experience.
- Experience using Offender Case Management System (OCMS)
DESIRED OR PREFERRED QUALIFICATIONS
- One year of experience examining and preparing legal documents utilized for the purpose of court proceedings (i.e. warrants, summons, etc.)
- Experience preparing court dockets, litigation case files and complex legal documents for attorneys
