POSITION DUTIES
Will provide technical, fiscal, personnel, operational, and administrative support that allows the Director, Assistant Director and other professional staff to be timely and thorough in their responses to business constituents, legislators and other state agency personnel. Incumbent will be responsible for the following: scheduling; correspondence preparation and review; coordinating meetings; managing, implementing and expediting administrative projects; database management; legislative tracking; and mandated reports submissions to the Maryland General Assembly (MGA) and the Governor’s Office. Individual will communicate with a number of external stakeholders and customers (MGA staff, DLS staff and business constituents) responding to inquiries about the Department’s programs and initiatives; serve as an intermediary for the supervisor maintaining frequent contacts with the public, officials, executives and staff; and support outreach events by providing logistical and administrative assistance.
This position works out of the Department’s Annapolis Office during the 90 day legislative session providing administrative support for OPRGA and Commerce staff during the session.
Ideal candidate must possess knowledge of the principles and practices of office management, procedures and equipment; be well organized and able to work independently. Candidate must possess excellent interpersonal, written, and oral communication skills; excellent secretarial skills; a good work and attendance record; and an aptitude for detailed work. An excellent telephone manner is a must. The ability to handle multiple concurrent and high priority tasks; compose routine and complex business correspondence; maintain confidentiality of records, prepare reports, and other materials.
MINIMUM QUALIFICATIONS
Education: Graduation from an accredited high school or possession of a high school equivalency certificate.
Experience: Five years performing secretarial work or clerical work involving typing duties.
Notes:
1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.
2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.
3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration or Personnel Specialist classifications or Administrative, Clerical, or Office Services specialty codes in the Special Assistant or Secretarial fields of work on a year-for-year basis for the required experience.
DESIRED OR PREFERRED QUALIFICATIONS
Experience with the Maryland’s legislative process is highly desired
Ability to work with officials, the public and co-workers in a courteous and tactful manner
Proficiency in the use of Google Mail and Microsoft Office Suite including Word, Access, Excel, PowerPoint or other relevant software .
