Main Purpose of Job

This position oversees and provides secretarial support for the Procurement Division's daily administrative activities and delivers consistent multifaceted administrative support and service to the Director, Deputy Director, Supervisors and Procurement Officers of the Procurement Division of the Department of Human Services.

POSITION DUTIES

This position acts as an intermediary for the Director, Deputy Director and Supervisors of the Procurement Division maintaining contact with Department program directors and managers, Department of Budget & Management staff and Board of Public Works personnel in support of efficient processing of the Department of Human Service's procurements; provides customer service to both internal and external customers; updates Procurement Tracking System for every action taken; schedules conference rooms for regular meetings, IPM meetings and pre-proposal meetings; receives and records Public Information requests and places a copy in Procurement Division's PIA log; follow-ups with the Procurement Coordinator to assure responses are prepared within the appropriate time frame; assists in the preparation of reports; organizes data and information; composes correspondence; provides information to other divisions, Local Departments of Social Services, DHS Procurement Officers and Central Staff at the request of the Director; takes minutes of Procurement Advisory Committee (PAC) meetings and/or any other relative meeting held by the Procurement Division; and performs other related duties.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Five years performing secretarial work or clerical work involving typing duties.

Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted  at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration or Personnel Specialist classifications or Administrative, Clerical, or Office Services specialty codes in the Special Assistant or Secretarial fields of work on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

Strong preference will be given to applicants that possess the following preferred qualification(s). Include clear and specific information on your application regarding the qualifications.

The ideal candidate will possess the following:  

1.  Two years of secretarial support experience within the Procurement Division.  

2.  One year of experience using personal computers and word processing software.

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a keyboard of a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.
