Definition

Acts as a lead and participates in the work of a small clerical unit engaged in providing centralized support services such as reprographics, mail processing, office delivery, central supply, telephone, and civic center permits.

Typical Duties

Schedules, oversees, and participates in the work of a small clerical unit engaged in providing centralized support services such as reprographics, mail processing, office delivery, central supply, telephone, and civic center permits.

Assigns, schedules, and reviews the work of the assigned staff.

Determines more efficient work procedures and techniques for assigned unit to ensure timely and efficient completion of work.

Sets up, operates, and adjusts support services equipment including high-speed programmable photocopy machines and binding and finishing equipment in the reproduction of a wide variety of materials.

Cleans, adjusts, and performs minor maintenance on support services equipment.

Receives, reviews, and completes work orders and follows up for clarification when needed including conformance with trademark and copyright laws.

Responds to inquiries from customers regarding status of work orders and the services provided by the unit.

Contacts service representatives regarding major repairs and service of support services equipment.

Assists users in the proper operation and use of standard photocopy machines.

Maintains files, procedures manuals, references, support services inventory, and other records.

Compiles data and prepares reports and correspondence related to the work of the assigned unit.

Prepares or approves requisitions for office supplies.

Orders parts needed to perform minor maintenance on support services equipment.

Provides training to assigned staff in the work of the unit.

Operates a mail meter to process mail in accordance with US Postal Service regulations.

May compute and check invoices.

May participate in preparing the annual budget for the unit and monitoring the expenditures.

May coordinate the disposal of surplus equipment and furniture.

Performs related duties as assigned.

Distinguishing Characteristics

A Lead Support Services Assistant performs lead duties for a small clerical unit responsible for providing centralized support services such as reprographics, mail processing, office delivery, central supply, telephone, and civic center permits.

A General Services Supervisor plans, organizes, supervises, and participates in the work of staff assigned to multiple centralized support services such as reprographics, courier and office delivery, mail, telephone, central supply, and civic center permits.

A Reprographic Equipment Operator sets-up, operates, and performs minor maintenance on high-speed programmable photocopiers and other related reprographic equipment.

Supervision

General supervision is received from a classified supervisor or administrator. Serves as a lead over assigned clerical and technical staff.

Class Qualifications

Knowledge of:

Operation and care of support services equipment including high-speed programmable photocopiers , binding and finishing equipment, mail meters, and other related equipment

Customer service techniques for public contact in person, on the phone, and in written communications

US Postal Service regulations

Principles of training

Principles of office management

Recordkeeping procedures

Capabilities of computer systems, software, and hardware used in assigned area

Skill in: 

Use of computer and standard equipment used in general support services areas

Ability to:

Provide guidance and technical assistance to others

Train others in the work of the unit

Give clear and concise instructions

Set-up and operate support services equipment including high-speed programmable photocopiers, binding and finishing equipment, mail meters, and other related equipment

Entrance Qualifications

Education and Experience:

Graduation from high school or its equivalent AND two years of full-time, paid clerical experience, which must have included providing office support services and participation in the operation and minor maintenance of standard office equipment. Lead experience in a small clerical unit responsible for general support services is desirable.

Physical Requirements:

Ability to stand for long periods of time.

Ability to move and lift loads up to 50 pounds.

Special:

A valid Class "C" California driver's license may be required for some positions.
