JOB OVERVIEW

Performs clerical, administrative and general office duties involving typing, record and file maintenance, mail distribution and telephone reception.

MINIMUM QUALIFICATIONS

Graduation from high school or possession of a GED Certificate; and
One year of clerical experience.

Or
An equivalent combination of education, training and experience that would reasonably be expected to provide the job-specific competencies noted below.

JOB SPECIFIC COMPETENCIES

  • Some knowledge of office practices and procedures.
  • Some knowledge of departmental policies and procedures.
  • Some knowledge of English grammar, punctuation and spelling, and ability to review and proof documents.
  • Some knowledge of frequently used office computer technology including; Windows, Internet and Office software applications.
  • Skill in operating a computer utilizing basic functions of word processor, spreadsheet, database and electronic mail applications.
  • Ability to use general office equipment, and to perform a variety of clerical duties such as answering telephones, filing, copying, scanning, receiving and sorting mail, inventorying and ordering supplies.
  • Ability to type.
  • Ability to take and transcribe notes from oral presentations.

REPRESENTATIVE DUTIES

  • Types correspondence, memoranda, reports, manuals, records, orders, and other office documents from rough drafts, recording machines, notes, and specific oral instructions.
  • Opens and distributes mail.
  • Answers routine inquiries for information and composes routine correspondence for supervisor's signature.
  • Operates electronic mail systems and coordinates the flow of information both internally and with other organizations.
  • Maintains paper and electronic office records and files.
  • Operates various general office machines such as fax machines, copiers, scanners, and phone systems.
  • Performs simple clerical computer operations using word processing, spreadsheet, database management, and other applications.
  • Prepares reports involving clerical or tabular information, which may include performing simple arithmetical calculations.
  • May process and maintain basic personnel related documents and records, such as timekeeping, procurement and payroll records.
  • Performs other related duties as required.
