Nature and Scope

Incumbents in this class provide basic accounting and bookkeeping services in support of a section, division, or department financial activity.  Work is performed under the supervision of a technical supervisor, and assignments are stable in nature.  Individuals process and/or verify financial transactions/accounts which require familiarity with bookkeeping principles and practices as well as specific knowledge of individual codes, department regulations, etc.  Incumbents may be responsible for either one or a combination of the below listed accountabilities, depending upon the structure of the agency to which assigned.

Principal Accountabilities

  • Posts, maintains and verifies various ledgers and accounts.  
  • Prepares and/or verifies financial documents such as payment vouchers, invoices, etc.  
  • Compiles basic data for use by others in the preparation of budgets and/or financial reports.  
  • May participate in the receipt and disbursement of monies.  
  • Prepares reports of financial activity.  
  • Reconciles bank accounts.  
  • Maintains and/or verifies financial accounts.  
  • Interacts with students, facility, employees, vendors, state agencies, public, etc., to resolve any discrepancies.  
  • Researches accounts in order to determine proper billing and disposition of funds.  
  • Reconciles journal entries with supporting documentation.  
  • Maintains appropriate financial records and files, both manually and computer assisted.  
  • Performs related work as required.

Knowledge, Skills and Abilities

  • Knowledge of basic accounting and bookkeeping principles and practices.
  • Knowledge of standard office practices and procedures. Knowledge of auditing procedures.
  • Ability to assay state accounting procedures and federal reporting procedures.
  • Ability to perform basic mathematical calculations.
  • Ability to operate office machines and equipment.
  • Ability to apply applicable laws, rules, and regulations.
  • Ability to communicate effectively in oral and written form.

Minimum Qualifications

Applicants must have education, training, and/or experience demonstrating competence in each of the following areas:  

  • Knowledge of bookkeeping practices and procedures.  
  • Knowledge of office record keeping practices and procedures.  
  • Ability to perform mathematical calculations.  
  • Ability to communicate orally.

Conditions of Employment

This position is a classification organized under an exclusive bargaining representative (labor organization).  The candidate/applicant selected for this position shall be asked to join and pay dues to the labor organization or,  may decline joining the labor organization and not pay dues or a fee.  The labor organization has been elected by employees as their representative for collective bargaining and other work related purposes.
