Summary Statement

This is an exempt position providing administrative support to the Chief Information Officer (CIO) for the Department of Technology and Information. Primary functions include managing the CIO's calendar, assisting with Department priorities, and handling confidential issues.

Selective Requirement

Possess excellent written communication skills and attention to detail.

Possess a minimum of 3 years experience in creating and editing power point presentations for internal and external meetings.

Minimum of 1 year experience in office management including organizing a complex schedule, supporting Executive Level Management and performance in a supervisory capacity. 

Experience managing multiple, competing priorities.

Minimum of 3 years experience in  producing accurate and concise meeting minutes.

Possess advanced knowledge in computer software packages, such as Microsoft Office, for document creation, data manipulation as well as the creation of forms and presentations.

Preferred Qualification

Knowledge and experience in information technology.

Essential Functions

  • Applies agency laws, rules, regulations, policies and procedures in maintaining and processing agency information. 
  • Maintains confidentiality and privacy of information.  
  • Creates and maintains official agency word processing documents, databases, spreadsheets, presentations, forms and other publications using agency standard software packages.   
  • Serves as liaison with the public, clients and customers, agency staff, vendors and contractors to exchange information and explain agency services, laws, rules, regulations, policies and procedures.
  • Assures effective coordination of operational and administrative functions in DTI.  
  • Establishes tracking and monitoring systems and conducts follow up to ensure effective resolution of matters.
  • Obtains, organizes and drafts technical and administrative material necessary for public information or departmental use. Collects and compiles data to prepare reports and provide supporting documentation.
  • Analyzes routine operating practices and procedures and makes recommendations to ensure smooth and efficient office operation.
  • Maintains voicemail, email, calendars and scheduling for individuals, conference facilities, building operations and DTI management and staff.
  • Facilitates meetings, videoconferences, teleconferences and other aspects of operational effectiveness.
  • Performs telephone coverage and Front Desk Receptionist duties as required.
  • Maintains and controls data and/or filing systems to ensure effective, accurate and easily retrievable documentation of operations, program and project activities.
  • May direct or provide managerial oversight for other administrative specialists; coordinate scheduling of staff, contractors and vendors for operational efficiencies and cost mitigation.

  • High school degree and 3 years’ experience in Administrative, Business or related field.
  • Advanced knowledge in computer software packages, such as Microsoft Office, for document creation, data manipulation, as well as the creation of forms and presentations.
  • 3 years’ experience in information collecting, compiling, analyzing and presenting information/data from multiple sources to assist administrative/managerial staff.
  • Demonstrate the ability to work independently and under minimal supervision.
