The State of ConnecticutDepartment of Revenue Services (DRS), is recruiting for one (1) Office Assistant in the Enforcement Unit, which is part of the Operations Bureau. This position will provide clerical support to a wide variety of functions in the Enforcement Unit. This position is located at 450 Columbus Boulevard, Hartford, CT. Please note: The list from this recruitment will be used to fill future vacancies as they occur.

Position Highlights
The hours are Monday through Friday, 7:00 a.m. to 3:30 p.m.

Responsibilities will include, but are not limited to:
  • Sorting a large volume of scanned warrant, general collection and collection unit correspondence and distributing it amongst staff using SharePoint.
  • Sorting through incoming faxes and attaching them to cases and/or forwarding them to the appropriate staff/unit.
  • Faxing outgoing bank and wage warrant releases/modifications as well as merchant warrants for field agents.
  • Preparing vouchers for wage/bank warrants, UCONN/CCSU offset and payment plan checks.
  • Mailing out general correspondence on behalf of staff and forwarding or hand-delivering tax returns to Processing Unit.

PURPOSE OF JOB CLASS (NATURE OF WORK)

In a state agency this class is accountable for independently performing a full range of general clerical functions or for carrying out responsibility for the flow and completion of clerical work in an assigned area.

EXAMPLES OF DUTIES

Responsibilities will include, but are not limited to:

KNOWLEDGE, SKILL AND ABILITY

  • Knowledge of office systems and procedures including proper telephone usage and filing;
  • Skills
    • basic interpersonal skills;
    • oral and written communication skills;
    • in performing arithmetical computations;
  • Ability to
    • perform a full range of clerical tasks;
    • operate office equipment which includes computers, tablets, and other electronic equipment;
    • operate office suite software;
    • schedule and prioritize workflow;
    • read and interpret complex instructions.

MINIMUM QUALIFICATIONS - GENERAL EXPERIENCE

Two (2) years of general clerical work experience.

MINIMUM QUALIFICATIONS - SUBSTITUTIONS ALLOWED

College training may be substituted for the General Experience on the basis of fifteen (15) semester hours equalling one/half (1/2) year of experience.

PREFERRED QUALIFICATIONS

  • Experience organizing and managing a large volume of work;             
  • Experience communicating effectively across agency units;
  • Experience in a multi-faceted and high-volume work environment;
  • Experience developing and maintaining basic office procedures and filing systems including both physical and electronic case files and records;
  • Experience in interpersonal customer service;
  • Experience operating multi-function copiers, faxes, and personal computers.

SPECIAL REQUIREMENTS

Persons having responsibility for supervising or observing the behavior of inmates or custodial individuals will be required to possess a high school diploma or General Educational Development (GED) certification by the time of permanent appointment.
