We are seeking individuals with supervisory, workflow, record and file management experience for a Unit Supervisor position in our Connecticut Tumor Registry program. The successful candidate will have an opportunity to make a direct impact on improving the lives of Connecticut citizens.

The Unit Supervisor will be accountable for supervision of clerical functions relating to cancer registry data record processing and workflow coordination in order to ensure a complete and detailed cancer database.  The Record Management unit is responsible for receipt, validation and confirmation of all files received from providers and supplemental data resources. The Unit Supervisor will work closely with the Quality Assurance Coordinators to prioritize and assign worklist tasks. Employment in DPH’s Connecticut Tumor Registry offers educational support, and continuous access to training from national standard setters, including NCI-SEER and NAACCR.        

Specific duties will include:  

  • Determining priorities, assigning and reviewing work, and coordinating operational workflow
  • Supervising clerical staff in the assessment of record submission validity and completeness
  • Coordinating training of unit staff and assisting the Quality Assurance Coordinators with medical records training
  • Acting as liaison between Record Management and Technical units to coordinate and prioritize operations
  • Providing background and descriptive information to the Registrar of Tumor Records regarding requests for DPH Information Technology (IT) support

This position reports to the Registrar of Tumor Records (Public Health Services Manager).

PURPOSE OF JOB CLASS (NATURE OF WORK)

In a state agency this class is accountable for supervising clerical employees involved in general clerical activities.

EXAMPLES OF DUTIES

Determines priorities, assigns and reviews work; coordinates workflow; provides staff training and assistance; conducts performance evaluations; maintains office records; serves as liaison with other operating units, agencies, outside officials, etc.; handles counseling or disciplinary problems; develops work performance and procedural standards and guidelines; recommends staffing changes and assists in recruitment and selection of personnel; compiles data and prepares reports; develops and maintains filing systems, forms and office procedures; handles telephone and written inquiries for information and assistance; explains agency policy to staff and public; maintains inventory control; performs related duties as required.

KNOWLEDGE, SKILL AND ABILITY

Considerable knowledge of office systems and procedures; interpersonal skills; oral and written communication skills; ability to schedule and prioritize workflow; considerable supervisory ability; ability to read, understand and apply a variety of materials; ability to perform arithmetic computations; ability to operate office equipment which includes personal computers or other electronic equipment; ability to operate office suite software.

MINIMUM QUALIFICATIONS - GENERAL EXPERIENCE

Four (4) years of general clerical experience.

MINIMUM QUALIFICATIONS - SPECIAL EXPERIENCE

Two (2) years of the General Experience must have involved a full range of general clerical duties as an Office Assistant, Interpreter Clerk or its equivalent.

MINIMUM QUALIFICATIONS - SUBSTITUTIONS ALLOWED

College training may be substituted for the General Experience on the basis of 15 semester hours equalling six (6) months to a maximum of two (2) years.

PREFERRED QUALIFICATIONS

  • Experience in central cancer registry operations
  • Experience with electronic databases and data management systems
  • Experience in records and file management
  • Experience with staff supervision, including duties assignment and work performance evaluations
  • Experience training staff and providing appropriate tools for staff to perform their jobs more effectively
  • Experience scheduling and prioritizing workflow and meeting time sensitive deadlines
  • Experience with Microsoft Office Suite including managing and analyzing data, writing reports, tracking work, composing correspondence and scheduling meetings
  • Experience and understanding of confidential policies and procedures
  • Experience and understanding of complying with statutory and regulatory requirements      
  • Experience communicating technical instructions and guidance to diverse groups of people  

SPECIAL REQUIREMENTS

Persons having responsibility for supervising or observing the behavior of inmates or custodial clients will be required to possess a high school diploma or General Educational Development (GED) certification by the time of permanent appointment.
