Introduction

The State of Connecticut, Division of Criminal Justice (DCJ) is responsible for the investigation and prosecution of all criminal matters in the State of Connecticut. It is an independent agency of the executive branch of state government, established under the Constitution of the State of Connecticut. The Division of Criminal Justice is composed of the Office of the Chief State's Attorney, located in Rocky Hill, Connecticut, and the Offices of the State's Attorneys for each of the thirteen Judicial Districts in the State of Connecticut.

We are seeking a conscientious, highly dependable, self-directed professional with excellent customer service skills to serve as the receptionist at the Office of the Chief State’s Attorney in Rocky Hill, CT. The incumbent will be the initial point of contact for callers and visitors from the public, media, attorneys, court officials, and other agencies both in person and on the phone, and will  direct them appropriately. Light filing, typing, and mail sorting will also be required. This is a full-time, thirty-seven and one-half hours per week. Core hours are 8:00 a.m. to 5:00 p.m., Monday – Friday.

NOTE:  The incumbent will be required to complete a background check.

PURPOSE OF JOB CLASS (NATURE OF WORK)

In the Division of Criminal Justice, this class is accountable for receiving generalized training in the performance of a variety of complex and responsible clerical duties.

EXAMPLES OF DUTIES

Processing: Receives, compiles and processes a variety of court and/or prosecutorial documents; assembles and reviews incoming materials for accuracy, completeness, and conformance to established policy and procedures; prepares logs and indices; may record dispositions and other information during proceedings; may assign file numbers; assists in maintaining calendars of due dates.

Filing: Assists in maintaining a complex filing and record-keeping system for a variety of forms and documents and court reports.

Typing: Types a variety of administrative, prosecutorial or other legal documents and correspondence; operates office equipment; may enter and retrieve data on computer terminals; acts as secretarial support for professional staff.

Interpersonal: Acts as receptionist, providing general information, assistance and referrals in responses to citizen questions regarding case status or process; follows through on directed contacts with police, attorneys, witnesses, victims, etc.

Record Keeping: Assists in maintaining inventory control; assists in preparation and maintenance of various financial accounts and reports; compiles office billings; prepares attendance report; may receive and record cash payments; performs related duties as required.

KNOWLEDGE, SKILL AND ABILITY

Basic knowledge of office systems and procedures, including proper telephone usage and filing; basic skill in performing arithmetic computations; basic interpersonal skills; ability to perform clerical tasks; ability to type at a net speed of 35 wpm; basic ability to operate office equipment, which may include work processors, computer terminals or other automated equipment.

MINIMUM QUALIFICATIONS - GENERAL EXPERIENCE

One (1) year of general clerical work experience.

PREFERRED QUALIFICATIONS

Candidates with excellent interpersonal communication skills, a demonstrated record of excellent attendance and dedication to customer service are preferred.
