Introduction


The State of Connecticut Department of Developmental Services (DDS) - North Region's Regional Director's Office - has one (1) current Full-Time job opportunity for a Secretary 2 based out of the East Hartford Office. 

This is a full-time (40) hour per week position - 1st shift. The work schedule is: Monday - Friday 8:00 a.m. to 4:30 p.m. However, must be flexible in order to meet the needs of the agency, individuals, and their families.

PURPOSE OF JOB CLASS (NATURE OF WORK)

In a state agency this class is accountable for independently performing a full range of secretarial support functions requiring an understanding of organizational policies and procedures.

EXAMPLES OF DUTIES

Perform all secretarial functions/duties for NR Private Nursing Division Health Service Director and designee. Must be proficient in Microsoft Office Programs including Outlook, Word and Excel, Power point. Schedule, coordinate and attend statewide meetings, lectures, conferences, and trainings as directed, as well record minutes from meetings. Correspond /communicate with other state and private agencies;  data collection and record keeping, maintain and up keep various databases and filing systems; Composes and mails letters and memorandums as directed; compiles information from a variety of sources for statistical and/or narrative analysis; design new forms and procedures to facilitate workflow; order and maintain office supplies as needed, track mandatory employees training, reviews and approves timesheets in CORE for nursing staff, assist retrieving documents for mortality review and DNR database and other duties as needed. 

KNOWLEDGE, SKILL AND ABILITY

Considerable knowledge of office systems and procedures; considerable knowledge of proper grammar, punctuation and spelling; knowledge of business communications; knowledge of department's/unit's policies and procedures; some knowledge of business math; interpersonal skills; ability to schedule and prioritize office workflow; ability to operate office equipment which includes personal computers other electronic equipment; ability to operate office suite software; ability to take notes (shorthand, speedwriting or other method acceptable to the supervisor).

MINIMUM QUALIFICATIONS - GENERAL EXPERIENCE

Three (3) years' experience above the routine clerk level in office support or secretarial work.

MINIMUM QUALIFICATIONS - SPECIAL EXPERIENCE

One (1) year of the General Experience must have been as a Secretary 1 or its equivalent.

MINIMUM QUALIFICATIONS - SUBSTITUTIONS ALLOWED

College training in the secretarial sciences may be substituted for the General Experience on the basis of fifteen (15) semester hours equalling one-half (1/2) year of experience to a maximum of two (2) years.

PREFERRED QUALIFICATIONS

Preference will be given to those individuals who possess:

  • Clerical experience is a setting that provides services for individuals with Developmental and Intellectual Disabilities;
  • Experience interacting and corresponding with various state and private agencies;
  • Knowledge of DDS policies and procedures;
  • Strong writing and oral communication skills;
  • Experience using a variety of Microsoft office programs, including Outlook, Word, and Excel;
  • Strong interpersonal skills with the ability to work well with others;
  • Strong attention to detail and accuracy in proof-reading;
  • Understanding of HIPAA laws and confidentiality;
  • Able to demonstrate knowledge of policies and procedures related to payroll, purchasing, data collection and scheduling.
