Introduction

The State of Connecticut, Department of Developmental Services (DDS) has one (1) current full-time job opportunity for an Office Assistant position in the Strategic Service Development unit based out of the Cheshire office.

This is a full-time forty (40) hour per week position. The work schedule is Monday through Friday on first shift. However, must be flexible in order to meet the needs of the agency.

This positions is open ONLY to current State of Connecticut employees.

Selection Plan

*For employees in the classified service, permanent status is obtained after successful completion of a working test period. For employees in the unclassified service, permanent status is obtained after serving in a position for at least six months (full-time or full-time equivalent).

Incumbents in this position will be required to possess and retain a valid Motor Vehicle Operator's license.

Incumbents in this class will be required to do some travel.

PURPOSE OF JOB CLASS (NATURE OF WORK)

In a state agency this class is accountable for performing a full range of general clerical functions or for carrying out responsibility for the flow and completion of clerical work in an assigned area.

EXAMPLES OF DUTIES

Monitors the Family Grant e-mail mailboxes for three regions. Types correspondence with families and Case Managers regarding outstanding grants, questions regarding grant paperwork, procedures, etc. on a daily basis; Corresponds with families, vendors or Case Managers via phone regarding grants; Verifies information from grant request against Access, CORE-CT, Camris, and Tableau databases; Creates "grant packet" through Access Database for each approved grant request and sends via e-mail or mail to payee and Case Manager; Prints and enters grant requests and approved grant information for each region into the Access Database; Organizes, maintains, and updates files for each grant; Proofreads all correspondence to families, vendors, etc. before being sent.  Other duties as required.

KNOWLEDGE, SKILL AND ABILITY

Knowledge of office systems and procedures including proper telephone usage and filing; oral and written communication skills; skill in performing arithmetical computations; basic interpersonal skills; ability to perform a full range of clerical tasks; ability to operate office equipment which includes personal computers, computer terminals and other electronic automated equipment; ability to operate office suite software; ability to schedule and prioritize workflow; ability to read and interpret complex instructions.

MINIMUM QUALIFICATIONS - GENERAL EXPERIENCE

Two (2) years of general clerical work experience.

MINIMUM QUALIFICATIONS - SUBSTITUTIONS ALLOWED

College training may be substituted for the General Experience on the basis of fifteen (15) semester hours equalling six (6) months of experience.

PREFERRED QUALIFICATIONS

• Proficiency using Microsoft Word and Excel
• Bilingual preference (Spanish/English)
• Excellent written oral, interpersonal and organizational skills
• Excellent attention to detail and documentation skills
• Experience following-up with families and vendors
• Ability to work independently
• Ability to adapt to changing work priorities and compressed deadlines
• Ability to learn and use new software applications

SPECIAL REQUIREMENTS

Persons having responsibility for supervising or observing the behavior of inmates or custodial clients will be required to possess a high school diploma or General Educational Development (GED) certification by the time of permanent appointment.
