Introduction

The State of Connecticut, Department of Developmental Services (DDS) - Central Office - currently has a full-time job opportunity for a Secretary 1 position in the Legal Division in Hartford, CT.

This is a full-time forty (40) hour per week position. The work schedule is Monday through Friday 8:30am - 5:00pm. However, must be flexible in order to meet the needs of the agency.

This positions is open ONLY to current State of Connecticut employees.

*For employees in the classified service, permanent status is obtained after successful completion of a working test period.  For employees in the unclassified service, permanent status is obtained after serving in a position for at least six months (full-time or full-time equivalent).

Incumbents in this class may be required to possess and retain a valid Motor Vehicle Operator's license.

Incumbents in this class may be required to travel.

PURPOSE OF JOB CLASS (NATURE OF WORK)

In a state agency, this class is accountable for performing a full range of secretarial support functions.

EXAMPLES OF DUTIES

 The Secretary 1 will perform a  variety of secretarial functions including answering telephones and responding to questions; scanning, review and prioritizing mail; use of computer to access templates; review, scan and  draft correspondence, internal memos, reports; edit documents applying knowledge of grammar, punctuation and spelling; design, organize and maintain filing systems; support legal and eligibility staff by arranging and scheduling meetings including supplies and equipment; schedule and support legal and eligibility staff in hearing preparation including video conferencing; greet, direct  visitors and hearing participants.  Will perform related duties as required.

KNOWLEDGE, SKILL AND ABILITY

Considerable knowledge of office systems and procedures; considerable knowledge of proper grammar, punctuation and spelling; knowledge of business communications; some knowledge of business math; interpersonal skills; ability to schedule and prioritize office workflow; ability to operate office equipment which includes personal computers and electronic equipment; ability to operate office suite software; ability to take notes (shorthand, speedwriting or other method acceptable to the supervisor).

MINIMUM QUALIFICATIONS - GENERAL EXPERIENCE

Two (2) years' experience above the routine clerk level in office support or secretarial work.

MINIMUM QUALIFICATIONS - SUBSTITUTIONS ALLOWED

College training in the secretarial sciences may be substituted for the General Experience on the basis of fifteen (15) semester hours equalling one-half (1/2) year of experience.

PREFERRED QUALIFICATIONS

• Experience working in a fast paced, and, at an advanced level of confidentiality in legal and health and human service settings
• Experience providing support, including calendar management to multiple professionals in several divisions
• Proficient in prioritizing workflow of multiple units
• Experience successfully scheduling and prioritizing multiple tasks with competing deadlines
• Strong interpersonal skills demonstrating tact, confidentiality and diplomacy
• Experience with office software including Microsoft Office Suite, Excel, Word, and Outlook
• Experience preparing announcements, reports, agenda and forms
• Excellent verbal and written business communication and organizational skills
• Ability to work independently and as part of a team using initiative and problem solving skills to complete projects on time with minimal supervision
• Strong attention to detail and accuracy
• Bilingual in second language preferred
