The Alameda County District Attorney’s Office is comprised of approximately 150 attorneys, 60 inspectors, 30 Victim-Witness advocates and claim specialists, as well as a variety of administrative, finance, and communications professionals. Our jurisdiction covers over 800 square miles and our staff work in 9 offices located throughout the County.

DESCRIPTION

DEFINITION

Under general supervision, to perform the more difficult clerical work requiring use of a computer terminal and knowledge of various computer codes and their application; to enter, search, correct, delete, retrieve and update computer files from a wide variety of source documents; and to do related work as required.

DISTINGUISHING FEATURES

This is a specialized clerical class. Incumbents are responsible for the input of data into a computer system by selecting the operation codes specific to the type of source documents assigned for processing. Incumbents examine source documents to extract necessary information, and often transfer the information into computer codes before it can be input, functions often requiring specialized knowledge to perform. Data Input Clerks spend the majority of their time operating a terminal and utilizing a variety of source documents and data banks within a computer system. Data Input Clerk differs from the class of Clerk II where incumbents primarily use the computer terminal to search and retrieve information.

EXAMPLES OF DUTIES

NOTE: The following are the duties performed by employees in this classification. However, employees may perform other related duties at an equivalent level. Each individual in the classification does not necessarily perform all duties listed.

  1. Keys in information from a variety of source documents on a video display data terminal using an alpha-numeric keyboard; verifies accuracy of data entered visually on the viewing screen and transmits into the computer system.
  2. Reviews a variety of source documents to determine intended action, correctness, sufficiency of information and conformance with procedures; reviews print-outs for errors and makes corrections.
  3. Codes various pieces of information from source documents before entering data or information into an on-line computer.
  4. Operates computers and printers to produce court dockets, minutes, rap sheets, OMV driving records, registration information, schedules, form letters, and court calendars after input of information into database; picks up and delivers data input documents; purges and closes files.
  5. Enters, verifies, updates and processes misdemeanor and felony warrants, stolen firearms and property information in criminal records database; receives and cancels recalled bench warrants; sends and receives teletypes regarding missing persons, next of kin, runaways from juvenile institutions.
  6. Receives and responds to requests from attorneys, law enforcement and Court personnel, and the public for information via search of computer file information.
  7. Performs computer processes to create Medi-Cal cards; may execute computer commands to create other negotiable documents, such as food stamps or pay warrants for service providers.
  8. Operates a variety of office equipment and data retrieval equipment, including personal computers or terminals, printers, teletype, datalog and FAX machines.
  9. Assists system managers in troubleshooting problems and in the planning and development of new or expanded systems or procedures.
  10. Sends and receives messages and general information via computer terminal.
  11. Maintains, updates, and corrects database file information, including entering and updating purchasing or vendor files, contracts, inventory files, requisitions, bids, purchase orders and applicant or client history.
  12. Operates specialized personnel computer system that processes applications, provides applicant tracking, calculates and ranks examination scores, scans multiple-choice written tests, generates certification and examination form notices, customized reports, eligible lists and testing schedules.
  13. May occasionally perform other clerical duties, such as assisting with training, acting as a receptionist assisting others at a front counter or on the telephone, or other clerical functions on a part-time basis.

MINIMUM QUALIFICATIONS

Miniumum Qualifications


The equivalent of two years of full-time clerical experience.  Experience operating a computer terminal.


Special Requirements


All candidates must be able to type alpha and numeric characters at a speed of not less than 35 words per minute with 80% accuracy.

KNOWLEDGE AND SKILLS

The most suitably qualified candidates will possess the following competencies:


Knowledge of:

  • Modern office practices and procedures, including business correspondence, filing, office equipment operations and on-line computers.

 

Ability to:

  • Speedily and accurately inputting computer information from source documents into database via keyboard terminal.
  • Operating on-line data processing equipment and utilizing a variety of basic computer commands and menu screens.
  • Interpreting source documents and extracting required information for entry into computers.
  • Reading and interpreting procedure manuals.
  • Adjusting to changes in workload and working under time constraints.
  • Checking and verifying computer output for accuracy and completeness.
  • Working cooperatively and effectively with those contacted during the course of work.
  • Following oral, written and coded instructions.
  • Operating general office and technical equipment.
  • Making decisions and exercising sound judgment regarding information being entered, deleted, or coded in the database.
