DESCRIPTION
Under the general direction of the Public Information Supervisor, assists in the development, maintenance, coordination and marketing of public information for the Hayward Area Recreation and Park District.


DISTINGUISHING FEATURES

This single position class is located in the Business Department and reports to the Public Information Supervisor. This position provides a variety of administrative support activities requiring the exercise of decision making and independent judgment. It is distinguished from the latter in that the Public Information Supervisor has overall responsibility for the District’s Public Information/Community Relations program.

EXAMPLES OF DUTIES
NOTE: The following are the duties performed by employees in this classification. However, employees may perform other related duties at an equivalent level. Each individual in the classification does not necessarily perform all duties listed.

1. Provides administrative support to the Public Information Supervisor;

2. Provides assistance to the Executive Assistant to the General Manager.

3. Provides administrative support in the coordination, development and design of District publications, including promotion of special events, facility/park dedications, fundraisers, and employee newsletter.

4. Provides administrative support to the Hayward Area Recreation and Park District Foundation Executive Director for fundraising events, bookkeeping practices and other duties as assigned.

5. Participates in the coordination of special events including the Employee Recognition Event and the Board of Director’s Awards.

6. Represent the District at public events before civic and community groups disseminating public information, presentations and establishing community relations.

7. Participates in developing and maintaining the District’s website, social media platforms, marketing and advertisement activities.

8. Assists with the planning and coordination of District programs, marketing efforts, and community events.

9. Assists in the creation and preparation, press releases, advertisements and marketing materials.

10. Maintains public information/community relations program files and records.

MINIMUM QUALIFICATIONS
Education:

Possession of an Associate’s degree from an accredited college in Business Administration, Journalism, Marketing or a related field.

OR

Experience:

The equivalent of one year of full time experience in a job related field which must have included public information, public relations or marketing activities. (Additional experience may be substituted for the required education on a year for year basis.)

KNOWLEDGE AND SKILLS
NOTE: The level and scope of the following knowledge and abilities are related to duties listed under the “Examples of Duties” section of this specification.

Knowledge of:

• Public relations and marketing practices and trends
• Components of public information programs, including media relations and activities.
• Methods for developing and presenting pubic information programs.
• Local community and District programs, activities and events
• Bookkeeping practices, including reconciling accounts
• Microsoft Office, graphic design, bookkeeping software and publishing software


Ability to:

• Coordinate and participate in district events
• Establish and maintain effective working relationships with employees, external agencies, community organizations, and the general public
• Communicate effectively, both orally and in writing
• Research, develop, write, and deliver accurate and effective communications
• Organize and prioritize a variety of projects and multiple tasks in an effective and timely manner; organize work, set priorities, and meet critical time deadlines
• Assist in the design and dissemination of marketing materials
• Promote District services, programs and special events
• Research and respond to inquiries from internal and external customers
