DEFINITION

Under immediate supervision, does stenographic and clerical work of average difficulty following standardized procedures; and does related work as required.

CLASS CHARACTERISTICS

This is the journeyman level class in the Clerk Stenographer series. Employees of this class are responsible for utilizing a working knowledge of specialized subject matter and clerical functions, performing more difficult qualitative and quantitative stenographic and typing assignments, and exercising some independent judgment within a limited range of standardized procedures.

This class differs from that of Clerk Stenographer I in that employees of the latter do routine stenographic and clerical work according to well established procedures. This class differs from that of Clerk Stenographer III in that employees of the latter have supervisory responsibility over a group of employees and act as an office manager, or utilize a greater working knowledge of technical subject matter and have functional responsibility for a specialized segment of the clerical activities of an office, or act as a secretary to the head of a large department or division.

TYPICAL DUTIES

  • Takes and transcribes dictation consisting of correspondence, reports, memoranda, legal materials, and other items; takes and transcribes notes or minutes of conferences, meetings, or hearings.
  • Type articles, forms, letters, memoranda, reports, legal materials, and other material from copy, rough draft, or dictating machines; composes and types letters and other routine memoranda independently; proofreads typewritten materials.
  • Gathers, prepares, and maintains information for operating, personnel, financial, statistical, or technical records or files; screens source material for completeness and accuracy: adds, posts, or verifies information.
  • Greets office callers in person or by telephone; takes and transmits messages; searches for information for callers; gives out semi-specialized information concerning laws, rules, regulations, and policies not involving decision making; advises persons as to procedures to be followed.
  • Files and sorts correspondence, forms, records, reports, documents, and other materials alphabetically, numerically, or by other predetermined classifications; codes filing materials prior to filing which requires knowledge of subject matter or which may require judgmental decisions; makes search of files to obtain material.
  • Handles incoming and outgoing mail; receives, opens, sorts, time stamps, routes, and weighs mail; addresses, stuffs, and seals envelopes; affixes and records postage.
  • Operates various types of standard business machines, which require skill and precision in setting up a machine and performing multiple adjustments throughout the machine cycle.
  • May act as lead worker; may check and review work of others; may train others as assigned.
  • MINIMUM QUALIFICATIONS

    Experience: One year of experience in stenographic clerical work.

     

    Substitution: One year of business training in an approved school or training program may substitute for six months of experience. 

     

    Licenses and Certificates: Possession of a valid typing certificate of 45 words per minute, and a valid shorthand certificate for 80 words per minute.

    KNOWLEDGE
