Senior Legal Stenographer (#RO5001)



DEFINITION

Under direction, performs difficult and responsible supervisory legal stenographic work or serves as Small Claims Advisor; and does related or other work as required in accordance with Rule 3, Section 3 of the Civil Service Rules.

CLASS CHARACTERISTICS

Incumbents of this class have supervisory responsibility over Legal Stenographers and other clerical employees who work for attorneys and investigators; or they provide advisory services to Small Claims litigants in addition to performing legal stenographic duties.

TYPICAL DUTIES

  •  Plans, assigns, coordinates and supervises the activities of a group of subordinates performing legal stenography, clerical and general office work; trains employees; confers with supervisors regarding office procedures and policies.
  • Provides procedural and substantive information to Small Claims litigants; advises litigants regarding specific problems; researches statutes as necessary.
  • Takes and transcribes a wide variety of legal dictation including briefs, complaints, contracts, motions, depositions and warrants; takes and transcribes other correspondence and reports.
  • Supervises and participates in typing a variety of legal materials, correspondence and reports; arranges information in proper legal format; composes and types letters and memoranda.
  • Receives, indexes, and files a variety of legal documents and correspondence; maintains case files and related filing systems; maintains case calendar books.
  • Gathers and compiles a variety of information for records and reports; maintains caseload statistics by type and disposition; prepares workload summaries; may maintain records of fees.
  • Screens calls and visitors; takes and transmits messages; gives out technical information on regulations, laws, or procedures to attorneys, government agencies, and the general public.
  • MINIMUM QUALIFICATIONS

    Experience:  Four years of responsible stenographic clerical work, including two years in a legal office.

    Substitution:  One year of business training in an approved school or training program may be substituted for six months of the general stenographer experience.

    Certificates:  Possession of a valid typing certificate for 50 words per minute, and shorthand certificate for 100 words per minute.

    KNOWLEDGE

    Principles and practices of supervision and training; legal terminology and procedures; legal forms and documents; general office practices and procedures; language mechanics, including grammar, spelling and vocabulary; filing systems; basic mathematics; public relations procedures.

    ABILITY

    Assign, train and supervise others; take and transcribe legal dictation; read and interpret legal documents, rules, and procedures; follow oral and written instructions; communicate effectively orally and in writing; establish and maintain effective working relationships.
