PURPOSE OF JOB CLASS (NATURE OF WORK)

In the Division of Criminal Justice this class is accountable for the preparation and/or maintenance of payroll, agency accounts, financial statements or other bookkeeping and record keeping functions.

SUPERVISION RECEIVED

Works under the general supervision of the DCJ Director of Financial Services.

SUPERVISION EXERCISED

May lead clerical employees as assigned.

EXAMPLES OF DUTIES

  • Assists in the preparation of payroll or independently prepares components of a payroll such as shift differential, holidays and overtime;
  • Maintains bookkeeping and other financial records for an agency;
  • Keeps cash journals and ledgers;
  • Assists in preparing financial statements and budgets;
  • Balances and reconciles accounts;
  • Reviews incoming bids for compliance with purchase orders;
  • May prepare reports;
  • May handle money or checks;
  • Performs related duties as required.

KNOWLEDGE, SKILL AND ABILITY

  • Knowledge of
    • basic bookkeeping, accounting and financial record keeping procedures;
    • payroll procedures, financial terminology, statements and budget preparations;
  • Skills
    • interpersonal skills;
    • oral and written communication skills
    • in performing arithmetical computations;
  • Ability to
    • perform general clerical tasks;
    • operate a variety of office equipment which may include computers, tablets, and other electronic equipment.

MINIMUM QUALIFICATIONS - GENERAL EXPERIENCE

Two (2) years of clerical experience in accounting, financial record keeping or bookkeeping.

MINIMUM QUALIFICATIONS - SUBSTITUTIONS ALLOWED

College training may be substituted for the General Experience on the basis of fifteen (15) semester hours equalling one-half (1/2) year of experience to a maximum of two (2) years.
