PURPOSE OF JOB CLASS (NATURE OF WORK)

In the Division of Criminal Justice this class is accountable for supervising clerical employees engaged in general clerical activities.

GUIDELINES FOR JOB CLASS USE

This class is intended for use as a clerical supervisor where incumbents have full-time supervisory responsibility for a staff of at least three (3) subordinates.

SUPERVISION RECEIVED

Receives general direction from a DCJ State's Attorney, Assistant State’s Attorney, or other employee of higher grade.

EXAMPLES OF DUTIES

  • Determines priorities; 
  • Assigns and reviews work; 
  • Coordinates workflow; 
  • Provides staff training and assistance; 
  • Conducts performance evaluation; 
  • Maintains office records; 
  • Serves as liaison with other DCJ offices, agencies, outside officials, etc.; 
  • Handles counseling or disciplinary problems; 
  • Develops work performance and procedural standards and guidelines; 
  • Recommends staffing changes and assists in recruitment and selection of personnel; 
  • Compiles data and prepares reports; 
  • Develops and maintains filing systems, forms and office procedures; 
  • Handles telephone and written inquiries for information and assistance; 
  • Explains policy and procedures to staff and public; 
  • Maintains inventory control; 
  • Performs related duties as required.

KNOWLEDGE, SKILL AND ABILITY

  • Considerable knowledge of office systems and procedures;
  • Skills
    • interpersonal skills;
    • oral and written communication skills; 
  • Considerable supervisory ability; 
  • Ability to
    • schedule and prioritize workflow; 
    • read, understand and apply a variety of materials; 
    • perform arithmetic computations; 
    • operate office equipment which may include work processors, computer terminals or other automated equipment.

MINIMUM QUALIFICATIONS - GENERAL EXPERIENCE

Four (4) years of general clerical experience.

MINIMUM QUALIFICATIONS - SPECIAL EXPERIENCE

Two (2) years of the General Experience must have involved a full range of general clerical duties at or above the level of DCJ Senior Clerk.

COMPENSATION GUIDELINES

  • The classification of DCJ Clerical Supervisor is assigned to Salary Group DC19.
  • Employees shall proceed through that salary group and then shall proceed to Step 8 of Salary Group DC20.
  • The Job Code is identified as Salary Plan DC in CORE-CT.
